Payments Assistant

Day to day running of Ipswich Borough Council’s Accounts Payable System and Procurement Card system.

To undertake duties in relation to the Accounts Payable System, including –

 

 

Day to day running of Ipswich Borough Council’s Accounts Payable System and Procurement Card system.

To undertake duties in relation to the Accounts Payable System, including –

Management of the Accounts Payable email inbox

Checking invoices are correctly submitted and properly completed

Registering of supplier invoices

Ensuring all invoices are correctly authorised before payment is made.

Ensuring all CIS suppliers are verified and set up correctly in accordance with HMRC regulations.

dealing with update/error reports.

Creating new suppliers and maintenance of the master-file of supplier’s details.

Processing of supplier payments

Administering of the Government Procurement Card (GPC) System

Investigating internal and external queries

Training staff in all service areas in the use of the Accounts Payable and GPC systems

Such variations as may be required from time to time without changing the general character of the duties shown above or the level of responsibility entailed.

Flexible working hours over a 3 or 5-day period. Hybrid working 1 day in the office.

Essential:

4 GCSE’s including Maths and English or equivalent skills/experience.

Proven experience within an accountancy environment or related field

Computer skills: enter and retrieve data; email; keyboard skills. Working Knowledge of Microsoft Word/Excel/Outlook (or similar applications)

Ability to work on own initiative.

Ability to communicate effectively both orally & in writing.

Ability to cope with a varied workload and unexpected demands.

Ability to demonstrate both initiative and flexibility.

Desirable:

Knowledge of Unit 4 ERP integrated financial system.

Working with different areas of the council and getting an insight of the inner workings of the council

To gain experience within a local government workplace and the chance to gain an accountancy qualification.

The AP team are a very friendly and helpful bunch to work with, and very experienced at what they do.

Hours of work are 18.50 per week, Monday to Friday.

This is a hybrid working role (a minimum of 1 days per week working in the office).
